Write Like A Unicorn LLC

The Unicorn Authors Club is an online membership community that supports authors of color (and allies who really mean it!) to finish their books. This role supports the operations of the club as well as other projects of Write Like A Unicorn LLC, a coaching and consulting business founded by author Minal Hajratwala.

We're looking for a super detail-oriented unicorn with fabulous organizational skills to assist with a wide range of administrative and management tasks using the Zoho One platform and apps. 

 

The ideal person is:

  • an operations wizard (see detail below), 

  • enthusiastic problem solver, and 

  • deeply knowledgeable about Zoho One apps, particularly the CRM, Marketing Hub, Workdrive, Sign, and Bookings. 

 

You will be the primary administrative support for founder/author/coach Minal Hajratwala and a small team (3-5 contractors) that supports authors of color (and allies who really mean it!) through the Unicorn Authors Club and other projects. 

 

We are currently developing and migrating to Zoho One. Our business is rapidly scaling up, and you are the perfect person to help us:

  • streamline weekly and monthly processes, 

  • juggle multiple projects, 

  • move gracefully through transitions, and 

  • serve our members in a way that allows each team member to focus on our core strengths. 

 

As a team we move quickly yet thoughtfully, and you’ll be a great fit if you like to go with the flow and get sh** done with excellence and good humor.

 

Literary and/or publishing industry experience may be helpful but is not required. 

 

Core Responsibilities:

  1. Managing Zoho CRM to track Unicorn Authors Club members, alumni, and leads.

  2. Managing and updating an email list of approximately 5000 contacts in Zoho Marketing Hub, including categories and tags for different workflows and marketing materials.

  3. Managing and maintaining a content vault (repository of writing prompts, articles, worksheets, curriculum, audio/video files, presentation slides, etc.) organized in Zoho Workdrive.

  4. Responding to sales leads and inquiries promptly and professionally within 1 business day, using templates and in consultation with other team members as needed.

  5. Managing contracts for independent contractors and guest speakers using Zoho Sign.

  6. Managing a coaching schedule via Zoho Bookings for multiple coaches.

  7. Managing and maintaining team passwords.

  8. Managing team meetings: invitations, agendas, and project/action item tracking.

  9. Managing email across 3-5 inboxes.

  10. Providing executive assistant support to the founder, including travel bookings, speaking engagements, contracts, calendars, and emails.

  11. Support during Zoom talks, including pre-read materials, agendas, running a slideshow for the speaker, setting up polls and breakout rooms, monitoring the chat for questions, and taking notes if needed.

You are willing to sign an NDA and use safe cybersecurity practices.

This role requires a reliable, high-speed internet connection that can handle video and audio. Because we work primarily via meetings that you will host, sketchy internet won’t work.

 

This role will start at 6-8 hours per week, with the likelihood of growth. We are growing and there’s lots to be done!

 

Hours are mostly flexible, but you will need to be available for regular meetings during business hours Central time. 

 

Pay is commensurate with experience.

Scope of work: Set up and run accounts for a Texas-based online small business

 

We are a new business that is getting set up with Zoho One. We run an online membership/coaching program. We are seeking to set up our accounts from scratch with Zoho Books and Zoho Payroll. 

 

1. Set up Zoho Books 

  • Connect Zoho Books to multiple checking and credit card accounts, Stripe, and PayPal.

  • Migrate 2021 data from Excel and accounts into ZB for both income and expenses.

  • Create recurring reports. 

  • Work with payments coming in via Zoho Subscriptions.

2. Set up Zoho Payroll

  • Set up timesheets, invoicing, and payroll for independent contractors including free ACH payments to them.

  • Set up owner draw and owner salary.

  • Set up owner 401k contributions as sole employee and as employer match. 

  • Connect all accounts as needed.

3. Taxes

  • Advise owner on tax issues and timing to maximize deductions.

  • File estimated tax payments quarterly.

  • Create year-end tax reports.

  • File annual tax return.

  • Prepare and submit contractor 1099s.

4. Ongoing Maintenance and Services - Monthly

  • Prepare chart of accounts.

  • Categorize transactions accurately.

  • Bank, paypal, credit card reconciliation.

  • Invoices handling.

  • Vendor bills handling.

  • A/R & A/P management.

  • Payroll management.

  • Prepare other reports as needed, e.g. profit & loss, balance sheet, cash flow etc.
