OUR MISSION: We share the stories of our lives to educate and empower our community to be more compassionate, accepting, and inclusive of people with disabilities. Common Ground Society ensures that all families feel a sense of belonging through meaningful connections and local support.

Title: Administrative Assistant

Location: San Francisco Bay Area

About

Common Ground Foundation is looking for an Assistant, preferably fluent in both English and Spanish, to support our foundation’s President.  

The scope of work for this position is described below.

Outreach:

  • Following up with obligations from community partnership meetings
  • Thank you letters- tracking and sending team reminders
  • Social media- creating/editing content (social media + email) using Canva, gathering content and quotes from community members.
  • Media/Press- reaching out to various media sources, asking them to promote our organization
  • Filling out applications to various conferences

Support:

  • Newsletter: compiling materials to be included in monthly newsletters and translate the newsletter into Spanish
  • Seminars: reaching out to and scheduling presenters
  • Group facilitators: managing the group facilitators including reminding to get dates, times and write ups, dropping off signs and meet up kits

Meeting Support:

  • Presenter recruitment meetings: attending the in-person meetings and helping with follow-ups
  • Creating and sending effectiveness assessments/surveys to presenters or group leaders

Financial:

  • Sending invoices to finance team

Grants:

  • Writing grants 
  • Finding people to review grants prior to submission
  • Researching grants including responding to emails from people who send us potential grant info
  • Press kit development including a page on our website

Fundraising Support:

  • Creating sponsorship forms
  • Signing CGS for various fundraising sites so employees can donate through their work (like benevity, network for good etc.) 
  • Planning events 
  • Solicitation to companies, friends and family

Social Media and Website Support:

  • Social Media:
    • Edit content
    • Interact with other sites
    • Find posts to share in stories
    • Connecting with community/sites to share info
    • Responding to inbox messages/inquiries
    • Commenting/liking/sharing others
    • Writing hashtags
    • Finding people/organizations to tag
    • Using Canva to create content
  • Manage Facebook Groups
    • Managing inbox and sending follow-ups
    • Website management including
    • Updating website
    • Keeping SEO in the green
    • Fixing broken links
    • Keeping google account up to date

Managing Virtual Presentations:

  • Meeting logistics and troubleshooting

CRM:

  • Create forms
  • Link forms to data management areas
  • Keep constituent list up-to-date
